PMS and Alexa: benefits and functionality!

Through integration between the PMS and Alexa, automation, efficiency, and personalized services improve the guest experience and simplify management for staff.

Benefits

Integration between your PMS and Alexa Smart Properties allows you to activate features automatically to provide additional services to both guests and staff.

Language setting

When checking in, the PMS provides the language spoken by the guest, or the nationality of origin, and the Echo device automatically sets itself to the correct language (among the 5 available: Italian, English, French, German, and Spanish).

Communications and requests

Customized messages

If the PMS provides some guest data, such as name, an automatic, personalized message can be sent to the Echo Show device for the guest to read when they enter the room.

Automated messages

By knowing the guest’s arrival and departure dates, messages can be scheduled to be sent to Echo Show devices to advise the guest to take advantage of services or to take advantage of dedicated offers.

Sending requests

Requests made by the guest for the provision or reservation of additional services can be sent to the PMS (if the PMS grants it) so that they can be handled by the front desk both during the stay and at checkout.

Cleaning

By knowing the checkin and checkout dates, and based on precise rules set by the housekeeping staff, Alexa can handle requests from guests who need additional cleaning, or who conversely want the daily cleaning not to be done.

Staff services

Rooms to clean

If the PMS has such a feature, the cleaning staff can ask Alexa which rooms need to be cleaned on that floor. The staff on the floors will then be automatically updated on the rooms that remain to be done.

Clean room

Each day, after the daily cleaning is done, the cleaning staff can say “Alexa, the room is clean” (and will be prompted by Alexa for a security password), automatically changing the room status in the PMS, and thus being able to keep live track of ongoing activities.

Room ready

At the end of the stay, the house keeping manager can say “Alexa, the room is ready” (and a security password will be requested by Alexa), automatically changing the room status in the PMS. This avoids phone calls between the staff at the front desk and the staff on the floors, and communication errors, by being able to immediately assign the room to any waiting guests.

Device management and privacy

Device reset

The PMS can confirm to NAVOO’s systems that checkout has taken place, and automatically Echo devices in rooms can be reset, eliminating unread alarms and messages. Note: In facilities for which the PMS cannot be connected, automatic reset can also be done by other means.

Privacy

NAVOO’s systems will obtain from the PMS only the data you decide to share, and in any case without storing any personal data about the guest or related to the stay (such as the rate to be paid).
